St. Madeleine Sophie School in Guilderland has proudly provided Excellence in Education for over 50 years. Our campus is comprised of our school, church, Parish Hall, Parish Center/Gym and playground.
Our state-of-the-art technology enhances our students' education through the use of a computer lab, interactive whiteboards and computers in every classroom, including Pre-K.
St. Madeleine Sophie students (Pre-K through Grade 5) participate in a wide variety of extracurricular activities which include: Student Council, ski club, drama club (with one production each year with casts of 50 or more students), cooking club, bowling, dance and movement class, homework room, instrument lessons and after-school band for grades 3-5. Our annual school-wide Advent and Lenten Retreats, led by 5th grade students, enrich the spirituality of the retreatents.
We are proud of our small class sizes and specialized classes in Computers, Library, Spanish, Physical Education, Art and Music.
We offer two academic Pre-K programs. We have both full-time and part-time programs for three and four year-old children.
St. Madeleine Sophie School's strong commitment to service for others offers students many opportunities to support our parish community as well as the various communities in which we live. Our service projects include: Pennies for Patients, Ronald McDonald House, Christ Child Society, the soup kitchen at St. John's/St. Ann's, Omni Senior Living Community Center, "Go Red" Day for the American Heart Association, City Mission, and others.

Administrative Assistant
Hourly Rate Range: $18.00 - $20.00 based on experience
Job Summary
The Administrative Assistant performs a variety of tasks associated with the activities of the school office. His/her primary function is to provide support to the faculty and families of the school. This includes, but is not limited to, answering telephones, assisting parents, entering data, typing and disseminating periodic correspondence from the principal to stakeholders (parents, board members, faculty members). This position is the face of the school and will require a friendly disposition that matches the welcoming nature of our school community.
Summary of Essential Job Functions
- Answer phones, take messages, provide assistance and information
Assist faculty and staff
Assist parents with general inquiries
Assist in attendance-taking and dismissal instructions of students
Process family registrations
Record data from registrations
Placing orders for school supplies and materials
Processing Gym uniform orders
Minimum Qualifications
- Previous Administrative Assistant duties in a school setting preferred
- A warm, welcoming personality and an ability to work well with people of all ages, but most especially children
Demonstrated ability to perform a variety of office clerical skills including keyboarding, operating a copier, and various types of office equipment
Basic computer skills are required, to include Microsoft Word and Excel
Ability to prioritize daily tasks including the flexibility to adapt as needed
Knowledge Skills and Abilities
- Ability to operate various types of office equipment including copier, computer system and peripheral equipment; ability to work under production deadlines, as it relates to events planning
Maturity and sensitivity to appropriately respond to parent’s requests for assistance and service
Sensitivity and appreciation of the mission and purposes of the school
Willingness to work in cooperation with faculty, staff members and parent volunteers
Professionalism and confidentiality
Physical Demands
While this position is primarily in an office environment, there are occasional additional locations
The position requires extended periods of sitting and working at a computer, occasional lifting up to 25 pounds, clear vision at least 20 inches or less and the ability to adjust focus
The position requires mobility necessary to move within the school with books or other items of moderate weight.
