Accounting Assistant (2 Positions Available)

Hourly Rate: $24.18-$25.28 based on education & experience
35 hours per week (Monday - Friday 8:30 am - 4:00 pm)
Job Summary
The Catholic School Office accounting staff handles the accounting, reporting and business functions for several schools.
The Accounting Assistant will work with the accounting office personnel in the CSO to support the accounting and business functions of the various schools and the office.
Summary of Essential Job Functions
• Assists in managing the accounts payable function for the Catholic School Office and schools which includes compiling, coding and processing all invoices into the accounting system, cutting checks and maintaining all accounting records and files. Accounts payable processing often requires follow-up with school staff and vendors via email or phone.
• Assists in managing the accounts receivable function for the Catholic School Office which includes compiling and processing receivables in the accounting system, depositing funds using the office’s in-house check scanner and preparing cash deposits for the bank. Processing of student tuition payments into the tuition management system for various schools.
• Processing of journal entries in the general ledger system.
• Interacts with school staff during school visits, via email and phone calls.
• Assists with the processing of payroll.
• Performs other duties of this position to support the business and accounting function and special projects as assigned.
Minimum Requirements
• Minimum of an associate degree in accounting or business, knowledge of accounting, business concepts and procedures, and at least two years of experience in an accounting, financial and/or business environment.
• Proficient in Microsoft Excel and Word and adept at learning new software systems.
• Organized and efficient with work duties and ability to prioritize tasks.
• Ability to communicate effectively both orally and in writing and maintain effective and cooperative working relationships with all staff.
• Some minimal travel to our area schools required – mileage reimbursed.

Position: Pre-K Director/Assistant Principal
Salary: $45,000 or higher, based on education & experience

Job Summary
The Pre-K Director/Assistant Principal plays a crucial role in supporting the principal in the effective management and leadership of the school. Ensuring a safe, faith based, and supportive learning environment, conducive to student success. Inspired by Christ the Teacher, the schools of the Roman Catholic Diocese of Albany provide a transformative learning experience in an evangelizing community.
Responsibilities
- Provide leadership and oversight for the Pre-K program
- Supervise and support Pre-K teachers and classroom staff
- Partner with the school leadership to maintain a strong academic and faith-based environment
- Ensure developmentally appropriate curriculum and classroom practices
- Support student growth, family communication, and program development
- Assist with school-wide leadership initiatives and operations as part of the administrative team
Environmental and Physical Demands
The Pre-K Director/Assistant Principal will be managing the overall operations of the school, and will oversee the daily operations of the school, which include but are not limited to evaluate staff, student progress, and school safety through regular visits to classrooms and all other areas of the school plant which requires mobility throughout the school. This position also requires extended periods of sitting, working at a computer, and occasional lifting up to 25 pounds.

The Schools
Catholic Central School in Latham, New York, is a diocesan, coeducational Catholic school serving students from pre-kindergarten through grade eight within the Roman Catholic Diocese of Albany. Formed in 2022 through the merger of Saint Ambrose School and Catholic Central High School, it emphasizes academic excellence in a Christ-centered environment while serving families across the Capital Region. Notre Dame-Bishop Gibbons School in Schenectady is a coeducational diocesan Catholic school for grades 6–12 with a long history dating back to the mid-20th century, offering a college preparatory curriculum rooted in Catholic teaching and supported by a strong sense of community and personalized instruction.

o Major gifts & planned giving
o Capital campaigns

- Collaborate with the Diocesan Catholic School Office's Director of Advancement-on-advancement strategies and implementation.
- Develop and implement a comprehensive, student-centered enrollment & marketing communications strategy for both campuses.
- Strengthen brand identity & visibility within the Capital Region.
- Oversee enrollment strategy in collaboration with the Principals & admissions personnel.
- Leverage digital platforms, alumni networks, parish partnerships, current parents, and community outreach to grow enrollment.
- Ensure consistent messaging highlighting academic excellence, Catholic identity, and student success.
- Serve as the chief brand ambassador of both campuses.
Governance Development
- Lead the recruitment of new individuals and professionals to serve on the Consortium Board of Trustees.
- Implement governance structures and bylaws consistent with diocesan guidelines.
- Partner with the Consortium Board Chair to:
o Recruit, orient, and evaluate trustees
o Set board agendas & priorities
o Engage trustees in strategic & advancement efforts
- Foster a high-functioning, mission-centered governance model.
- Provide executive oversight of operational functions including facilities, human resources (in coordination with diocesan policies), risk management, and compliance.
- Promote collaboration and shared efficiencies between the two school campuses.
Collaborative Leadership
- Build strong relationships with pastors, parishes, alumni, civic leaders, and community partners.
- Promote unity and collaboration between the CCS and ND-BG school communities.
- Support Principals in leadership development and school culture initiatives.
Qualifications:
Required
- Practicing Catholic in good standing committed to the mission of Catholic education.
- Demonstrated senior leadership experience in education, nonprofit management, advancement, or relevant field.
- Proven success in fundraising & institutional advancement.
- Experience with financial oversight & strategic planning.
- Strong communication & relationship-building skills.
- Bachelor's degree required; advanced degree preferred.
- 5-10 years in Leadership, 5 years in an academic setting
Preferred
- Experience in Catholic education.
- Experience working with boards & governance structures.
- Knowledge of enrollment management & marketing strategy.
- Understanding of diocesan systems & Church governance.
- An accomplished strategic planner with high-level execution capabilities.
Environmental and Physical Demands
This position also requires extended periods of sitting, working at a computer, and occasional lifting up to 25 pounds. Incumbent needs to possess physical stamina to handle extended work hours, mornings, often beginning before the school day begins, and frequently ending with later evenings due to regular meetings occurring outside of normal business hours.
