The success of our graduates in high school is a testament to just how well prepared our students are socially, academically, and spiritually.

With the closeness of the families, students feel safe and understand that the faculty, administration, and staff all care about them. Small class sizes contribute to our academic excellence, providing opportunities to take advanced classes and courses for high school credit. In fact, 41 percent of the Class of 2011 will begin high school with three high school credits.

St. Thomas the Apostle is Middle States Accredited, offering accelerated curriculum, including high school Regents’ Algebra and Living Environment. We are proud of our integrated technology. Grades K-8 learn a second language and can participate in various extracurricular activities like our full band, Liturgy Choir, visual art program, before- and after-school programs, or our fun and successful summer camp. Students can join our running, soccer, basketball, drama or photography clubs, or be a part of creating our yearbook. Numerous student writing awards are earned each year, while we’ve had National Geographic Geography Bee State Level participants since 2009.

Our caring faculty recognizes and affirms the gifts and talents of each student, while our administration and staff works to ensure that opportunities exist for students and families to grow together, with strong support from the parish community.

Associate for Enrollment/Development 

(Full-time 10 month position Sept - June each school year)

Job Summary

The Associate for Enrollment/Development performs a variety of duties attuned to support the mission and vision of St. Thomas the Apostle School.  The Associate for Enrollment/Development extends hospitality and welcomes all who come into or communicate remotely with the school.  This individual provides services for all school fundraising efforts, markets the school, recruits new students and while retaining current students with the objective of service to our community and driving our school forward.  Efforts are provided to school events, correspondence and communication.  In addition to the job functions listed below, success in this position is dependent on the ability to communicate with tact, maintain information confidentiality and to interact effectively with co-workers and the public.  

The following functions are typical duties for this position:

Summary of essential job functions

  • Recruiting new students and retaining the current students at St. Thomas the Apostle School
  • Prepare for and host Open Houses and tours for prospective families
  • Prepare for and host Discover St. Thomas events for prospective families
  • Marketing the school (lawn signs, view cards, hosting events for the community, etc.)
  • Prepare correspondence for prospective, new, and current families (applications, tuition agreements, letters of intent, financial aid, busing, uniforms, etc.)
  • Collaborate with the principal and/or pastor regarding tuition decisions, financial aid, and scholarships for families based on financial aid history, FACTS application, and budget
  • Oversee enrollment process of new students
  • Ensuring applications and accompanying forms are current
  • Creating new student files and transferring files to archives over the summer
  • Obtaining medical information required for the school nurse as it pertains to the application/enrollment process
  • Maintaining FACTS enrollment and tuition database
  • Coordinate textbook orders with teachers
  • Inventory textbooks housed at St. Thomas
  • Order and secure delivery of textbooks through BOCES/Questar/South Colonie/Albany, etc.
  • Writing letters for the fundraising events for the principal/pastor to approve and sign
  • Provide PTO fundraising event materials for families, processing payments, and delivering PTO fundraising money to the treasurer and the parish bookkeeper
  • Working with the School Board on various fundraising events
  • On behalf of the School Board, work collaboratively with event chairs to develop and send out correspondence for the ask, follow up, and thank you letter for fundraising events
  • Answer phone calls, process mail, process Summer Camp intake and payments during the summer months
  • Attend enrollment webinars
  • Perform other duties as assigned

Minimum Requirements

  • Previous administrative experience, preferably in an educational organization
  • Excellent oral and written communication skills; attention to detail
  • Excellent organizational skills with the ability to work under deadlines
  • Capacity to be flexible and work well with others in a school setting
  • Capable of maintaining confidentiality
  • Proficiency in Microsoft Word, Access, Excel, and use of the Internet
  • Ability to operate office equipment
  • Maintain pleasant, courteous and polite demeanor in all communication via phone, email, mail or in person
  • Self-directed in organizing areas of responsibility
  • Desire to be proactive and create a positive experience for others
  • Ability to handle multiple tasks throughout the work day 
  • Capacity to handle challenging situations tactfully and relate well with all constituencies (office staff, pastors, principals, teachers, volunteers, current and potential families, visitors, and the general public)
  • Knowledge of and respect for the teachings and traditions of the Roman Catholic Church

Physical Requirements

Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, and must occasionally lift and/or move up to 25 pounds.
